Choosing the right executive coach
"Executive coach hire" usually means a higher specification vehicle with more comfort and on-board features. Match the vehicle to your numbers first, then to the feel of the event:
- Up to 19 passengers: our 19-seat executive mini coach has reclining leather seats, air-con, USB charging and a luggage hold. It's ideal for board members, VIP clients and small airport collections.
- 40 to 53 passengers: the 53-seat executive coach is the classic conference and away-day vehicle, with a PA system and a WC on selected vehicles.
- Larger groups: a 72-seat coach with a large luggage hold moves a big team in one go, which is useful for exhibitions where you're carrying stand materials too. Our double deckers go up to 98 seats.
Leave a little headroom on capacity. Late RSVPs, plus-ones and a box of brochures add up quickly.
How to plan a staff shuttle bus
Staff shuttle bus hire works best when you plan it around the busiest moment of the day rather than the average. Use these steps:
- Map the loop. List every pick-up and drop-off point in order. Fewer stops make for a faster, more reliable loop.
- Time a full round trip. Add driving time in both directions to loading and unloading time at each end. Be honest about traffic at peak times.
- Work out the frequency. If one round trip takes 40 minutes, a single coach gives you a departure every 40 minutes. Two coaches on the same loop halve that to roughly every 20 minutes.
- Size for the peak. If 200 people need to arrive between 8:15 and 8:45, plan capacity for that window, then scale down for quieter periods.
- Agree kerbside details. Confirm exactly where the coach can stop safely at each end. Venues, hotels and offices often have specific coach bays or loading areas.
- Tell your people. Share the timetable, the stop locations and a contact number before the day.
Presentation, signage and punctuality
For client-facing events, the coach is part of your brand experience. A few small touches make a big difference:
- Ask whether a printed sign with your company or event name can be displayed in the windscreen, so guests know which coach is theirs.
- Put a host from your team on board to greet guests and handle any questions.
- Share a dress code or briefing notes if the driver will be meeting VIPs.
- Build buffer time into the schedule. We'd rather wait for you than have you wait for us, so plan for the coach to arrive before your guests do.

Compliance documents procurement teams ask for
If you're booking for a larger organisation, someone will want to see paperwork before a purchase order is raised. It's worth gathering this early:
- PSV operator licence. Any operator carrying passengers for hire needs one. You can check an operator's licence yourself using the government's find lorry or bus operators search.
- Insurance evidence, including public liability cover.
- Driver checks, such as DBS checks and licensing.
- Safety and maintenance procedures for the vehicles.
- Policies your supplier framework requires, such as safeguarding or environmental statements.

Invoicing and booking questions to ask
Getting these answered at quote stage saves a lot of back-and-forth with finance later:
- Does the quote cover everything in the itinerary, including waiting time between drop-off and return?
- Are parking, tolls or congestion-related charges included, or charged separately?
- For overnight trips, how is driver accommodation handled?
- Can the invoice show your company name, purchase order number and cost centre?
- When is the booking payment due, and when is the balance due?
- What happens if numbers, timings or pick-up points change, and what are the cancellation terms?
- Who is your contact on the day if plans change?
Ask for any changes to be confirmed in writing, so everyone is working from the same version of the plan.

We need at least 24 hours' notice for a charter, but more notice is better. Peak dates such as conference season and December book up early, so get a quote as soon as you have a date and rough numbers.
