Coach hire cost: what affects the price of hiring a coach in the UK
Wondering how much it costs to hire a coach? Discover the nine factors behind every coach hire quote, what to check before you book and smart ways to save.
Ask ten coach companies “how much does it cost to hire a coach?” and you’ll probably hear the same honest answer: it depends. That isn’t a dodge. A 19-seat airport run on a Tuesday and a 98-seat double decker to the coast on a bank holiday Saturday are completely different jobs. This coach hire cost guide explains what actually drives the price, so you can set a realistic budget, compare quotes like for like and avoid surprises.
We’ve been running coaches from our depot in Iver, on the West London and Buckinghamshire border, since 1999. Here’s what our family team weighs up when we quote, and what to ask any operator before you book.
Why coach hire prices vary so much
Coach hire is almost always priced per job, not from a fixed price list. Every quote reflects how long a vehicle and a professional driver are committed to your trip, how far they travel (including the miles to reach you), the size of coach you need and how busy the date is. Two trips covering the same mileage can be priced quite differently if one involves a six-hour wait at a venue and the other is a simple drop-off.
That’s why “average price per mile” figures rarely help. To understand coach hire prices in the UK, look at the ingredients.
The main factors that affect coach hire cost
1. Group size and the vehicle you need
The number of passengers decides the coach, and the coach is a big part of the price. Our fleet of Euro-6 coaches runs from 19 to 98 seats. A 19-seat mini coach suits small groups and airport transfers, a 53-seat executive coach covers most groups of 40 to 53, and our 72-seat coach and double deckers carry the largest school and event parties.
A smaller vehicle isn’t proportionally cheaper, because the driver’s time, insurance and running costs don’t halve when the seat count does. Equally, one large coach can work out better value than two smaller ones, because you only pay for one driver and one vehicle. 2. Distance, duration and “dead” mileage
Distance matters, but time often matters more. A quote usually reflects the whole period the coach and driver are tied up, from leaving the depot to getting back, not just the hours your group is on board. Pick-ups far from the operator’s base add empty running at each end, which is one reason a local operator can be competitive. Our Iver depot is close to the M25, M4 and M40, Heathrow, Slough and Uxbridge, which keeps that positioning time down for many West London, Buckinghamshire and Berkshire pick-ups.
3. Driver hours, breaks and second drivers
Coach drivers work within strict legal limits on driving and rest. Under the assimilated (formerly EU) drivers’ hours rules on GOV.UK, daily driving is normally capped at 9 hours (extendable to 10 hours twice a week). Drivers must take breaks totalling at least 45 minutes after no more than 4.5 hours of driving, and in most cases have at least 11 hours’ rest each day.
In practice, a very long day (an early start, a long drive, a full day out and a late return) may need a second driver, or a driver change partway through, to stay legal and safe. That adds cost, but no reputable operator will cut this corner. A slightly later start or earlier finish can sometimes keep a trip within one driver’s day.
4. Overnight stays and multi-day trips
For tours, residentials and away fixtures, the coach and driver stay with your group. The quote will then normally cover driver accommodation, overnight coach parking and each extra day the vehicle is away from the depot. Ask whether the operator books the driver’s room or expects you to, as this often causes confusion when comparing quotes.
5. Dates, days of the week and seasonality
Coach hire runs on supply and demand. Weekends, bank holidays, the summer term (when school trips, proms and sports days cluster), wedding season and the run-up to Christmas are the busiest times of year. Midweek dates and quieter months usually offer more choice of vehicles.

6. Waiting time or drop-off and return
Should the coach wait with you all day, or drop you off and come back later? For a local event, two separate runs can sometimes cost less. For a longer trip, keeping the coach on standby is simpler and lets you leave bags on board. Ask us to price both.
7. Tolls, parking and congestion charges
Third-party charges can add up, so check whether they’re included. Look out for:
- Road and bridge tolls such as the Dartford Crossing or the M6 Toll, if your route uses them.
- Coach parking at venues, attractions, hotels and airports. Some venues offer free coach parking to booked groups, so ask when you buy your tickets.
- Central London charges. Transport for London lists vehicles with nine or more seats as eligible for a 100% Congestion Charge discount, so it shouldn’t normally appear as a separate cost for a coach. Still, check how any operator handles it.
8. ULEZ and emissions charges
Older vehicles that don’t meet the standard can face a daily charge in London’s Ultra Low Emission Zone, and some operators pass it on. 9. Vehicle specification and extras
Comfort features such as reclining seats, air conditioning, USB charging, a PA system for a guide or a WC (on selected vehicles) affect which coach suits your trip. For a long tour or corporate group, our 53-seat executive coach can be worth it; for a short hop, the essentials may be enough.
What should a coach hire quote include?
When quotes arrive, make sure you’re comparing like with like. Check:
- The exact vehicle size and type, and whether it’s one coach or several
- Pick-up and drop-off times and addresses, plus any extra stops
- Whether the coach waits with you or makes separate runs
- Driver costs, including any second driver, accommodation and overnight parking
- Whether tolls, parking and any emissions charges are included or extra
- Whether the price includes VAT
- The booking payment, when the balance is due and the cancellation terms
If one quote is much lower than the rest, ask why. It may mean a smaller vehicle, a shorter hire period or charges left out.

Ways to save money on coach hire (without cutting corners)
- Book early, especially for summer, December and weekend dates, so you get the widest choice of vehicles.
- Be flexible. If your date or times can move, tell us. A midweek date or a slightly different schedule can open up more options.
- Right-size the coach. Give an accurate headcount so you’re not paying for empty seats, but leave room for luggage.
- Combine groups. One larger vehicle such as our 72-seat coach can be simpler and better value than two smaller ones.
- Keep the day within sensible hours so the trip fits one driver’s legal working day where possible.
- Ask about coach parking when booking venue tickets. Free group parking saves you an extra cost.
