Heathrow coach transfers: a group guide to London airport travel

Planning around flight times and delays
Departures: work backwards from check-in
Start with your airline's recommended check-in time and work backwards. Groups take longer at bag drop than individual travellers, so add extra time on top. Then allow for M25 and airport-approach traffic, particularly on Friday afternoons, at the start of school holidays and in the early-morning rush. School groups should check passports and documents before anyone boards the coach, not at the terminal.
Arrivals: share the flight number
When you book an airport pick-up, give us the flight number and scheduled arrival time. The time between touching down and reaching the coach varies a lot. Passport control, baggage reclaim and customs can take anywhere from a few minutes to well over an hour. Ask your group leader to call or text the driver once everyone has collected their bags.
When flights are delayed
Delays happen. Keep us updated as soon as you hear of one, and agree beforehand how waiting time and long delays will be handled, because drivers must work within legal limits on driving hours. Planning this in advance avoids awkward phone calls at arrivals.
Heathrow terminal drop-off and pick-up: what organisers should know
Heathrow has specific arrangements for coaches, and they differ from those for cars and taxis. According to Heathrow's official group travel by coach guidance:
- Drop-offs use designated coach areas. Each terminal has set locations where coaches drop off departing groups, so your group may be set down somewhere slightly different from the usual car drop-off lanes.
- Collections need a forecourt permit. Charter coaches collecting groups need a pre-booked forecourt permit, and coaches usually wait at the West Ramp Coach Park until they're called to the terminal. Permits are the coach operator's responsibility, not yours.
- Time on the forecourt is limited. A coach gets a maximum of 20 minutes on a forecourt stand to load passengers.
- Your group must be ready first. All passengers need to be through baggage reclaim and customs before the coach is called. That's why the leader's "we're all through" message matters so much.
What about the Terminal Drop-Off Charge? Heathrow charges cars, taxis and private hire vehicles a fee each time they enter the terminal drop-off zones. Vehicles registered with the DVLA as buses or coaches receive a 100% discount, so a coach drop-off doesn't add this charge. Heathrow's procedures can change, so it's worth checking the latest guidance before you travel.
Gatwick, Luton and Stansted
Each London airport sets its own rules for coach drop-off, waiting and collection. When you request a quote, tell us the airport and the terminal (Gatwick North or South, for example) so we can plan the right approach.
Luggage: the detail that makes or breaks an airport transfer
For airport runs, count the bags as well as the people. A coach that seats your whole group comfortably may not hold everything if everyone brings a large suitcase plus extras. When you ask for a quote, tell us:
- How many large suitcases and how much hand luggage you expect.
- Any oversized items, such as golf bags, skis, sports kit, musical instruments, pushchairs or mobility aids.
- Whether the group is outbound only, returning only, or both, since people often come home with more than they took.
With luggage-heavy trips, it often makes sense to choose a vehicle with spare seats, or one with a bigger hold.
Choosing the right vehicle for your airport transfer

After a long flight, nobody wants to wander the terminal looking for their transport. A little planning makes arrivals smooth:
- Agree a gathering point inside the terminal where the group regroups after reclaim.
- Give the group leader and the driver each other's mobile numbers before travel day.
- For overseas visitors, send pick-up details in advance so they know what to expect when they land.
- Do a headcount, and leave time for a toilet stop, before heading outside to board.
